Job Summary:We are seeking a highly experienced and skilled Senior Executive Assistant and MIS Coordinator to join our team. The ideal candidate will have a proven track record of providing comprehensive administrative support to executive-level leaders, while also possessing a strong understanding of management information systems (MIS) and data reporting.
In this senior-level role, you will be responsible for managing the day-to-day operations of the executive office, as well as coordinating the collection, analysis, and reporting of critical business data. Your exceptional organizational abilities, attention to detail, and strategic mindset will be instrumental in ensuring the seamless execution of administrative tasks and the effective communication of key insights to the management team.
Key Responsibilities:
Executive Assistant Duties:
- Manage the calendars, schedules, and travel arrangements for the executive team
- Prepare and distribute agendas, presentations, and other materials for meetings and events
- Serve as the primary point of contact for internal and external inquiries, ensuring prompt and professional responses
- Assist with the planning and execution of various company events and functions
- Maintain and organize the executive teams filing systems, both physical and digital
- Provide support with the preparation of reports, proposals, and other important documents
- Manage the executive teams expense reports and reimbursement processes
MIS Coordination Duties:
- Collaborate with department heads and managers to identify their data and reporting needs
- Develop and implement efficient processes for the collection, analysis, and presentation of MIS data
- Design and generate comprehensive reports, dashboards, and visualizations to support data-driven decision-making
- Liaise with the IT team to ensure the seamless integration and operation of the companys information systems
- Provide training and support to end-users on the effective utilization of MIS tools and reports
- Stay up-to-date with industry trends, best practices, and technological advancements in the field of MIS
Qualifications:
- Bachelors degree in Business Administration, Management Information Systems, or a related field
- Minimum 10 years of experience as a Senior Executive Assistant or in a similar senior-level administrative role
- Proven expertise in management information systems, data analysis, and report generation
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with business intelligence tools
- Strong communication and interpersonal skills, with the ability to interact effectively with all levels of the organization
- Adaptable and able to work in a fast-paced, dynamic environment
- Discretion and confidentiality in handling sensitive information
- Experience in supporting executive-level teams and managing cross-functional projects
