المنصب Overview

The Administration and Logistic Support role is essential to ensuring smooth daily operations across the organization. The المنصب provides comprehensive administrative assistance, coordinates logistics, manages government-related processes, and supports internal teams. We are seeking a Saudi national with strong organizational skills and full fluency in Arabic and English, capable of managing multiple responsibilities in a fast-paced environment.

Key Responsibilities

1. Administrative Support

  • Organize, maintain, and update office documents, files, and records in both physical and digital formats.
  • Provide administrative support to ensure efficient operation of the office.
  • Schedule and coordinate appointments, meetings, and internal events.
  • Prepare, edit, and format documents, reports, and correspondence.
  • Perform data entry, maintain accurate records, and ensure proper documentation.
  • Manage schedules, deadlines, and the smooth flow of information within the الشركة.
  • Support procurement activities, including monitoring inventory levels and purchasing new materials as needed.
  • Assist in preparing presentations, reports, and meeting materials.
  • Identify process bottlenecks and offer solutions for improvement.
  • Adhere to الشركة policies, procedures, and regulatory requirements.
  • Stay updated on organizational changes and business developments.
  • Handle and maintain the petty cash fund, including disbursements, replenishments, record-keeping, and monthly reconciliation in accordance with الشركة financial policies

2. Logistic Support

  • Coordinate and monitor shipments, deliveries, and logistics for ongoing projects.
  • Arrange travel logistics for senior staff, including booking flights, transportation, hotel accommodations, and restaurant reservations.
  • Communicate with vendors, suppliers, and service providers to ensure timely and accurate delivery of goods and services.
  • Assist in managing office facilities, equipment maintenance, and service requests.
  • Oversee facility services and ensure proper maintenance of office premises.
  • Support the planning, setup, and execution of الشركة events, workshops, and meetings.
  • Track and report on logistics activities to ensure efficiency and compliance with الشركة procedures.

3. General Support

  • Provide cross-functional support to various departments as required.
  • Collaborate with team members to streamline processes and enhance operational efficiency.
  • Maintain a clean, organized, and professional office environment.
  • Handle ad-hoc administrative and logistical tasks assigned by management.
  • Serve as a point of contact for internal and external inquiries related to administrative or logistical matters.
  • Assist in the renewal of government-related licenses and employee visas.
  • Manage administrative procedures and government systems such as:
  • MISA, MoCI, CoC, MoL, GOSI, SPL, Muqeem, QIWA
  • , and other relevant platforms.
  • Ensure compliance with government regulations and timely submission of required documentation.

Qualifications and Requirements:

  • Saudi national (mandatory).
  • Fluency in Arabic and English, both written and spoken.
  • Bachelor's degree in Business Administration, Logistics, or a related field.
  • Minimum of three years of experience in administrative or logistics support roles.
  • Strong communication and interpersonal skills, with the ability to interact professionally at all levels.
  • Excellent organizational skills and the ability to manage multiple priorities simultaneously.
  • Strong problem-solving abilities and sound decision-making skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively within a team.
  • Flexibility, adaptability, and a proactive approach in a dynamic, fast-paced environment.
  • Experience working with vendors, suppliers, and logistics partners is an advantage.
