Job SummaryThe Administrative Assistant/Bookkeeper will play a key role in supporting the accounting department by tracking and following up on customer service issues, including communicating with clients, vendors, banks, and federal and state agencies such as the IRS, Texas Comptroller, and the Social Security Department. This position also requires fluent Spanish-speaking skills to effectively assist Spanish-speaking clients and partners. This position is also responsible for performing essential accounting tasks. The role requires maintaining strict confidentiality when handling sensitive client matters and ensuring the accurate and timely processing of financial data.
Duties
- Assist with tracking and follow up of customer service issues
- Maintain office machinery in good working order and ensure adequate office supplies are on hand at all times.
- Accurately prepare and proofread memos, letters, spreadsheets and other documents and correspondence as required.
- Complete accurate and timely documentation.
- Schedule meetings and travel arrangements partners and other staff members.
- Provide administrative support to partners and other staff members, such as answering phone calls, emails, and letters, preparing documents, and running errands.
- Provide administrative support to senior management as required.
- Maintain an accurate and organized file system
- Check inventory, order, and purchase office supplies as authorized by the executive director
- Perform monthly bank and credit card reconciliations
- Assists unit management with clerical tasks in relation to accounting, including filing, data entry, record review and maintenance, etc.
- Assist in special projects and year end projects as requested
- Retrieve client bank statements and source materials
- This position will handle a few "entry level" clients
- Exercise strict confidentiality when dealing with clients matter
- Maintains and updates customer files, including name or address changes, mergers, or mailing attentions
Requirements
- Fluent Spanish-speaking
- High school diploma or GED
- Previous bookkeeping experience (preferred)
- Previous administrative assistant experience (preferred)
- Ability to build good working relationships with clientsStrong verbal, written communication and organized skills
- Problem-solving skills
- Ability to function in a fast-paced environment & meet deadlines
- Proficient in using quickbooks online, adobe, outlook, word & excel
- High degree of accuracy and attention to detail
- Data entry skills
- Work independently with minimal supervision required
- Spanish requiered
Job Type: Full-time
Pay: $17.50 - $20.00 per hour
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
